TERMS AND CONDITIONS
1. Your Contract with us
To secure a booking for any event or tour, we require a non-refundable deposit as specified by your event co-ordinated at the time of booking. By paying a deposit and on completion of a booking form, you accept the terms and conditions on behalf of yourselves and anyone else in your group. All bookings are made and accepted as a group booking and the person placing the booking is deemed as ‘Group Contact’. The Group Contact is bound by these terms and assumes all responsibility to pay the balance of the invoice before the due date. We reserve the right to decline a booking at our discretion. The group contact is required to complete a booking form either written or online.
2. Payment
The Group Contact is responsible for ensuring that all monies due are collected and paid on time and in full and that everyone within the group is aware of our terms and conditions.
If you are booking a tour or event more than 30 days before the date of the tour/event, you must pay a deposit of £100 to secure the whole group booking. Any deposit paid by you will be non-refundable. The balance of the sum due must be paid at least 30 days before the date of the tour/event and if you should fail to make this payment, the deposit will be retained and Easyweekend will consider the tour cancelled. If you book a tour/event within 28 days of the date of the tour, the full cost of the tour is immediately payable.
Group Contacts are informed that they must make their payments over the phone and not via the online payment system. Any over payments on the booking, or monies returned due to cancelled places or bookings will be subject to a £1 administration fee per cheque.
3. Price
The price of the tour or event is detailed on the website for general information. Prices shown are correct and up to date, but please note that price may increase or decrease as a result of suppliers costs increasing or decreasing or other relevant matters related to your booked event or tour.
While we aim to keep the prices on our website up to date at all times it is possible that prices may occasionally be incorrect. If this happens we may honour the original price offered on our website, however this is completely at our discretion. In some cases the price difference may be such that we will contact you to notify you of the correct price at which point you can either reconfirm your order at the new price and pay the excess or cancel the order and we will issue a full refund. This does not affect your statutory rights. All prices are inclusive of VAT.
4. General
Your group must adhere to any on-site rules/instructions/conditions of use given, a breach in any of these may result in cancellation of all or part of the reservation. When undertaking an overnight stay, you must deposit with the hotel/hostel/guest lodging’s management, a valid credit card authority to cover an extra costs or breakages attributable to the group. You may be refused entry to the accommodation if you do not provide this type of authority. The term ‘centrally located’ hotel means within a 15-20 minute walk from the appropriate designated destination city or town centre.
Monies paid to us are held in a separate bank account until after your booked event, in keeping with the Package Holidays & tour Regulations 1992.
Whilst we make every effort to ensure that the activities we provide are as specified on the website, occasionally, for whatever reason, these might change. Wherever possible we will attempt to keep you informed of any changes or discrepancies. Our accommodation rating system is our own. Whilst it is very similar to conventional rating systems, in order to best reflect the needs of stag/hen groups, occasionally there will be some discrepancies. We always try to place groups in twin rooms where available however if these are not available you may be in triple or quad rooms. All pictures on the web site, or in promotional material, when used as examples of our packages are used only as samples of our events, activities and accommodation. Your actual events, activities or accommodation may differ from picture. The trademarks, logos, and icons (collectively the "Trademarks") displayed on the Site are registered and unregistered Trademarks of Easyweekend Ltd and may not be used without prior consent. 5. Travel Insurance
Every group member that is travelling on itineraries/packages organised by Easyweekend is required to have Travel Insurance. This can be your own personal insurance but it is the individual’s responsibility to make sure that their policy covers personal accident, medical and emergency evacuation, loss of monies and participation in your chosen activity or dangerous sport.
If you decide not to take out travel insurance suitable for your itinerary, you hereby agree to indemnify Easyweekend against any claim or loss of injury, and you and your group members participate entirely at your own risk. If you do not have appropriate insurance cover, Easyweekend may cancel your participation at our discretion and no refunds will be due. If we decide not to cancel your reservation, it is on the agreed basis that we shall not be liable for your participation in the itinerary and you participate entirely at your own risk. Certain activity providers may insist you sign an insurance indemnity and waiver form; therefore you participate at your own risk, and we shall not be liable for your participation. Participation in activities that are not booked as part of the itinerary or has been booked independently of the reservation will not be the responsibility of Easyweekend and we shall not be liable.
6. Cancellation
Once your booking has been confirmed cancellations can only be accepted in writing from the group contact, provided that the written notice is received 60 days or longer before the event date then you will forfeit the deposit paid to us. In the event of cancelling the whole of the reservation less than 60 days and more than 30 days before the event date, then half of the tour or event price is payable and in the event of cancellation 30 or fewer days before the tour or event the entire cost shall be payable. Easyweekend will not be held responsible for the cancellation if any event due to force majeure. If Easyweekend changes or cancels an event that has been booked, unless you choose and alternative event or tour, any monies paid by you will be returned in full. In the event of an alternative event or tour being booked at a different price to that cancelled, an appropriate refund or further payment will be made as applicable. If we are unable to provide any event or service due to any reason beyond our control, a replacement will be found.
7. Our Responsibilities
We have tried to make the images and descriptions within this website as realistic as possible, however we accept no liability for incorrect descriptions or misleading images. No conscious attempt has been made to mislead anybody about any of our products and any such occurrences, although unfortunate are completely accidental and we will not be held responsible for such misunderstandings.
Should services booked not be provided we will pay no refund or compensation if there has been no fault on the part of Easyweekend or its suppliers and the reason for the failure in the arrangements was the clients fault, the actions of a third party unconnected with the arrangements or could not have been foreseen or avoided by Easyweekend or its suppliers even if all due care had been exercised. Where the client suffers death or personal injury; as a result of an activity forming a part of itinerary arrangements booked with Easyweekend, we do not accept liability if there is no fault of Easyweekend’s or our suppliers part or the cause was the clients fault, the actions of a third party unconnected with the arrangements or could not have been foreseen or avoided by Easyweekend or our suppliers, representatives or agents even if all due care had been exercised.
8. Your Responsibilities
Reasonable behaviour is expected of all members of your party at all times throughout the duration of your event. If, at any time, Easyweekend believes that there has been any unreasonable behaviour on your part, either towards suppliers or staff members, we reserve the right to discontinue the rest of your event. The best policy is to enjoy your arrangements without causing distress, annoyance or damage to third parties. Travelling in a group may require some compromise to accommodate the different desires and abilities of group members and other groups and third parties.
By booking with Easyweekend, the Group Leader agrees to accept responsibility for each of your group members and undertake to conduct yourselves in a manner conducive to positive dynamics. If you or a group member acts in a manner that threatens or disrupts the safety or enjoyment of others and third parties, we or our suppliers or representatives or agents may, at our discretion cancel your reservation without notice and from immediate effect. You may be required to vacate accommodation without notice. No refunds will be given.
You must adhere to any on site conditions of use instructions given by suppliers of or representatives of Easyweekend and a breach may result in immediate cancellation of all or part of the reservation without notice and no refund will be due. In the case of overnight stays you must deposit with the hotel management a valid credit card authority to cover extra costs or breakages or damage attributable to your group, and you may be refused entry to the accommodation without it and no refund will be due. Easyweekend will not be held responsible for damage to and security of personal belongings throughout the duration of you Easyweekend trip/event.
9. Complaints
If you have a complaint regarding any aspect of the tour/event, you must communicate your complaint to the supplier of the service concerned at the earliest opportunity and also contact Easyweekend to let us know of your complaint. Any issue should be resolved at that time. If the problem is not solved to a reasonable and satisfactory solution, you must forward your complaint with supporting evidence to us within 7 days of returning. . If you do not comply with the complaints procedure, Easyweekend will not be responsible for your complaint. We are not able to investigate problems unless they have been raised directly with the service provider at the time. We will reply to your complaint within 28 days.
10. Financial Security
Monies paid to us are held in a separate account until after you have either participated with your arrangements or until the services that provide your arrangements have been paid in advance.
11. Substitution of Client
If any member of your party confirmed after 14 days after booking is prevented from participating or travelling because of the death, injury or serious illness of that person, close relative or friend, redundancy or jury service it may be possible to transfer the booking to another suitable person provided that written notice is given at least 21 days prior to departure. Our administration fee of £50 will be waived in such circumstances if evidence can be provided, however any costs imposed by our suppliers will be passed on.
12. Alterations made by You
We shall try to accommodate any reasonable changes you wish to make to the event. Alterations and amendment requests should be made with Us and not end suppliers and should be made by in writing to us. These changes shall not be deemed accepted until we have confirmed in writing to you. If you wish to increase or decrease the number of persons participating in the event you may do this up to six weeks prior to the date upon which your event is due to start. Amendments after that date will incur our administration charge of £50.00 per person. Changes such as arrival / departure dates and destination changes will also be subject to our administration charges. We cannot guarantee that the change to the price will be pro-rata, but will depend upon the arrangements we are able to make with our suppliers. Subject to our written agreement you may transfer your booking to a person who satisfies all the conditions applicable to the event.
13. Agreement
This is the sole contractual agreement between you and us and may not be varied save by concurrence of both of us and confirmed in writing by a Director/Partner of Easyweekend. This agreement is governed by English Law and shall be subject to the jurisdiction of the English Courts.
